Getting Started
GetDues is a simple tool for group organizers — coaches, treasurers, club directors, HOA managers — to track dues, send automatic payment reminders, and let members pay using their preferred apps. It replaces the mess of spreadsheets, group texts, and chasing Venmo payments one by one.
Anyone who collects recurring or one-time payments from a group: youth sports teams (soccer, baseball, lacrosse, basketball), PTAs and school clubs, scout troops, HOAs, churches, adult recreational leagues, and social clubs. Yes! GetDues lets you set custom labels for your group, members, and managers — so the app speaks your language. A soccer team might use "Player" and "Coach," a fraternity might use "Brother" and "Treasurer," and an HOA might use "Homeowner" and "Board Member." You can update these labels in your group settings.
Yes. GetDues supports CSV import, so if you’ve exported your roster from TeamSnap, Google Sheets, Excel, or any other system, you can paste it right in. We detect common column formats automatically. You can also add members manually one at a time.
Payments
Go to your team Settings → Payment Defaults to add your Venmo username, Zelle email/phone, or CashApp tag. These take about 1 minute to set up. For credit card payments, you can connect Stripe from the same settings page (takes ~5 minutes). Setting up payment methods before sending reminders ensures members know exactly how to pay you. Members can pay via Venmo, Zelle, or PayPal — apps most people already have on their phones. These are direct peer-to-peer payments: the money goes straight to your account, not through GetDues. If you want to accept credit/debit cards or ACH bank transfers online, you can also enable Stripe payments through your account settings (available for Pro teams).
Never. GetDues is a tracking tool, not a payment processor for Venmo/Zelle/PayPal payments. When a member pays via Venmo, that money goes directly from their Venmo to yours — GetDues never touches it. This is fundamentally different from platforms like TeamSnap, which process and hold payments before disbursing them (and have had well-documented issues with multi-week payment holds).

For Venmo, Zelle, and PayPal payments — zero fees from GetDues. These are direct payments between your members and your account; we’re just tracking them. Venmo, Zelle, and PayPal’s own standard terms apply (Zelle and Venmo personal transfers are typically free).

Yes. On the Pro plan with Stripe enabled, you can toggle “Pass processing fees to payers” in your team settings under Payment Info. When enabled, Stripe’s processing fees (2.9% + 30¢ per transaction) are added to the payer’s total at checkout, ensuring your team receives the full due amount. For example, if you create a $200 due, the payer is charged $206.29, and your team receives the full $200 (approximately $200.01 after Stripe processes the payment). The fee breakdown is shown transparently in the payment portal, so payers understand what they’re paying.
Yes. GetDues tracks partial payments and shows each member’s running balance — what they owe, what they’ve paid, and what’s still outstanding. You can mark any amount as paid, whether it’s the full balance or a partial installment.
Yes. When creating a due, you can split it into multiple installments with separate due dates. Members see their full payment schedule in their portal and can pay each installment individually.
ACH (Automated Clearing House) bank transfers let members pay directly from their bank account with lower fees than credit cards. Any Pro team with Stripe connected can accept ACH payments. ACH payments cost 0.8% (capped at $5) compared to 2.9% + 30¢ for card transactions. Settlement takes 4–5 business days, during which payments show as “Pending” in your dashboard.
Use the “Mark as Paid” button on any member’s entry in your dashboard. You can record any amount — cash, check, or anything else — and it updates their balance immediately.
On the Pro plan, GetDues sends automatic reminders at 5 touchpoints: 7 days before, 1 day before, 1 day after, 7 days after, and 14 days after each due date (if still unpaid). If a member has multiple outstanding dues, we consolidate them into a single reminder message with one portal link. SMS reminders are also capped at 10 messages per recipient per calendar month. You can still send manual one-off reminders when needed.
When you send a reminder to a member with a phone number on file, GetDues delivers it via SMS in addition to email. SMS reminders include a secure portal link so members can tap straight to their dues. For members, standard message and data rates from their mobile carrier may apply — GetDues does not charge members for receiving texts. For managers: SMS delivery is included in the Pro plan at no extra per-message cost, subject to a cap of 10 SMS messages per recipient per calendar month to avoid over-messaging. Members can opt out at any time by replying STOP, or by updating preferences in their portal link. See our SMS Consent page for full details.

Members & Privacy
Yes, on the Pro plan. Free accounts are limited to one group. Pro accounts can create as many groups as you need — useful for coaches running multiple teams, club directors managing multiple divisions, or organizations with separate chapters.
Free plan: up to 25 members per group. Pro plan: unlimited members. Most rec sports teams and clubs fall well within the free tier; Pro is for larger organizations or coaches managing multiple teams.
At minimum, just a first and last name. For reminders to work, you’ll want an email address or phone number. You can also add jersey number, parent/contact name, and any other notes.
No. Each member has their own private portal showing only their personal dues and payment history. No member can see what anyone else owes or has paid.
Members can manage their reminder preferences (email, SMS, or both) directly from their portal link. They can opt out of reminders at any time without needing to contact the organizer. See also our SMS consent page.
Security & Trust
GetDues is built on Supabase (PostgreSQL with row-level security) and hosted on Vercel. Member portal links use UUID tokens, so they can’t be guessed. Every reminder generates a fresh secure link, and each link expires after 48 hours. We do not sell member data. We do not share member contact information with any third parties. Yes — you can permanently delete your GetDues account from the Settings page. Unlike some platforms that make you jump through support hoops to leave, account deletion is self-serve and immediate.
Technical
Any device with a modern web browser: iPhone, Android, iPad, Mac, Windows PC, Chromebook. GetDues is a web app — no installation required. It’s also installable as a PWA (Progressive Web App) from your browser’s “Add to Home Screen” option for a native app feel.
The manager dashboard requires an internet connection. Member portal pages will show a cached version if the member visits them while offline.
You can archive a group when the season ends — this keeps all the payment history but removes it from your active dashboard. When the next season starts, use the “Start New Season” feature to create a fresh version of the group with your returning roster, without losing your previous records.
