- Account Information: Email address and password when you create a manager account
- Group Information: Group names, categories, seasons, and payment details (Venmo username, Zelle email/phone, PayPal email)
- Member Information: Member names, identifiers, parent/guardian names, email addresses, and phone numbers
- Payment Records: Payment amounts, dates, and methods (we track payments but do not process them)
Information About Minors
GetDues collects limited information about minor children (first name, last name, identifier) as provided by group managers or parents. We do not collect information directly from children under 13. This information is used solely for group management purposes.
Information Collected Automatically
When you use our services, we automatically collect:
- IP address and device information
- Browser type and version
- Pages visited and time spent
- Referring website
How We Use Your Information
We use the information we collect to:
- Provide and maintain our services
- Send payment reminders via email and SMS
- Process account requests and communicate with you
- Improve our services and develop new features
- Protect against fraud and abuse
- Comply with legal obligations
How We Share Your Information
We share your information only in the following circumstances:
- Service Providers: We use third-party services to operate our platform:
- Supabase (database and authentication)
- Vercel (hosting)
- Twilio (SMS delivery)
- Resend (email delivery)
- Group Members: Member and payment information is visible to the group manager
- Parents/Guardians: Parents can view their own member's dues and payment status via their portal link
- Legal Requirements: We may disclose information if required by law or to protect our rights
We do not sell your personal information to third parties. Your mobile phone number and any information collected as part of our SMS messaging program will never be shared with or sold to third parties or lead generators.
Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- Encryption in transit (HTTPS/TLS)
- Encryption at rest
- Row-level security to isolate group data
- Secure password hashing
- Regular security reviews
However, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.
Data Retention
We retain your information for as long as your account is active or as needed to provide services. When you delete your account, we soft-delete your data (making it inaccessible) and permanently purge it after 90 days. We may retain certain information as required by law or for legitimate business purposes.
Your Rights and Choices
You have the right to:
- Access: Request a copy of your personal data
- Correction: Update or correct inaccurate information
- Deletion: Delete your account and associated data
- Opt-out: Unsubscribe from marketing emails or SMS reminders
Parents/guardians can manage notification preferences through their portal link. Managers can manage preferences in account settings.
SMS and Email Communications
By providing a phone number or email address, you consent to receive payment reminder messages from GetDues on behalf of group managers. Message frequency varies. Message and data rates may apply.
To opt out of SMS reminders, use the preferences link in your parent portal or reply STOP to any message. To opt out of email reminders, use the unsubscribe link or update your preferences.
Children's Privacy (COPPA)
GetDues does not knowingly collect personal information directly from children under 13. Member information is provided by group managers or parents/guardians, not by children themselves. If you believe a child has provided us with personal information directly, please contact us immediately.
California Privacy Rights (CCPA)
California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, request deletion, and opt out of the sale of personal information. We do not sell personal information.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the service after changes constitutes acceptance of the updated policy.
