Understanding collection rates
Your collection rate is the percentage of dues you’ve collected so far. It’s calculated based on the total amount owed vs. the total amount paid.
Example:
Your team owes a total of $10,000 in dues. So far, you’ve collected $7,500. Your collection rate is 75%.
What affects your collection rate:
- Payments: Each payment increases your collection rate
- Adjustments: Scholarships and credits reduce the total owed, which increases the collection rate
- New dues: Adding more dues items increases the total owed, which can lower the rate temporarily
Collection rate is displayed prominently on your dashboard and in exported reports.
Paid vs outstanding breakdown
GetDues breaks down your team’s payment status into three categories:
✓ Paid in full
Members who have paid everything they owe. This includes members who received full scholarships (owe $0).
⏳ Partially paid
Members who have made at least one payment but still owe money. Common with installment plans.
✗ Unpaid
Members who haven’t made any payments yet. These are the members who need reminders.
Your dashboard shows a visual breakdown (e.g., “12 paid, 3 partial, 5 unpaid”) so you can quickly see where you stand.
Per-team statistics
Each team has its own set of stats and metrics:
- Total collected: How much money you’ve received
- Outstanding balance: How much is still owed
- Collection rate: Percentage collected (see above)
- Total adjustments: Sum of all credits and discounts applied
- Member count: Total members on the team
- Payment status breakdown: Paid, partial, unpaid counts
- Recent activity: Latest payments and reminders sent
If you manage multiple teams, each has independent stats. Switch between teams using the team switcher to view their individual reports.
Exporting reports
Need a detailed report for your board, treasurer, or personal records? GetDues lets you export payment data as a CSV or PDF.
How to export a report:
From your team dashboard, click Export Report (usually in the top-right or under a menu).
Choose your format: CSV (for Excel/Sheets) or PDF (for printing/sharing).
The report downloads instantly. It includes all member details, payment status, amounts owed, payments made, and adjustments.
What’s included in exported reports:
- Member names and contact info
- Dues items and amounts owed
- Payment history (dates and amounts)
- Outstanding balances
- Adjustments and credits applied
- Team summary stats (collection rate, total collected, etc.)
Using reports for meetings and updates
Reports are perfect for:
- Board meetings: Share a PDF showing collection progress and outstanding balances
- Treasurer updates: Export a CSV with detailed payment history for your treasurer to reconcile
- End-of-season summaries: Archive a report showing final collection rates and total funds raised
- Tax records: Keep CSV exports for your personal records or tax purposes
- Identifying late payers: Filter or sort the CSV to find members who are behind
Tip:
Export reports regularly throughout the season to track trends and identify who needs follow-up reminders.
