Dashboard overview
Your team dashboard is your command center for managing dues and members:
- Collection summary: See total collected, outstanding balance, and collection rate
- Member roster: View all members with their payment status (paid, partial, unpaid)
- Dues items: All fees you’ve created (season fee, uniform, etc.)
- Recent activity: Latest payments and reminders sent
- Quick actions: Send reminders, add members, create dues, export reports
Tip:
Click on any member to see their detailed payment history and send them a direct reminder.
Creating and switching teams
Many managers run multiple teams (different age groups, sports, or seasons). GetDues makes this easy:
Creating a new team:
Click the team switcher in the top-left corner (shows your current team name).
Click + Create New Team.
Enter your team name, organization type, and member terminology (see below).
Start adding members and dues.
Switching between teams:
Use the team switcher dropdown in the top-left to quickly jump between teams. Each team has its own members, dues, and settings.
Team settings
Each team has its own settings. Access them from the dashboard by clicking the Settings tab or gear icon.
Key team settings:
- Team name: Rename your team anytime
- Payment methods: Connect Stripe, set up Venmo/Zelle/PayPal info
- Custom terminology: Change how members are labeled (see below)
- Co-managers: Invite others to help manage this team
- Share Portal Links: Copy and share member portal links directly (see below)
- Archive/delete: Archive old teams or permanently delete them
Share Portal Links
Want to share portal links directly with members instead of sending reminders? The Share Portal Links section in team settings lets you easily distribute payment portal links:
How it works:
- Individual links: Each member has a unique portal link that gives them access to view their balance, payment history, and make payments
- Copy link: Click the copy button next to any member’s name to copy their portal link to your clipboard
- Text link: Click the text button to open your phone’s SMS app with the portal link pre-filled
- Share all: Use the “Share All” button to share all portal links at once via SMS or copy them to your clipboard
Use case:
Perfect for sharing links in group chats, parent meetings, or when members request direct access to their portal without waiting for a reminder.
Note: Portal links shared this way don’t expire like reminder links do, giving members ongoing access to check their balance and payment status anytime.
Pass processing fees to payers
If you have Stripe connected for online payments, you can choose whether to pass credit card processing fees to payers or absorb them yourself.
Pro feature
This toggle is only available to GetDues Pro users with Stripe connected and onboarding complete.
Where to find it:
Go to Team Settings → Payment Info and look for the “Pass processing fees to payers” checkbox. This appears below your Venmo/Zelle/PayPal fields when Stripe is fully set up.
How it works:
- When disabled (default): Your team pays the Stripe processing fee. If a payer owes $200, they pay exactly $200, but your team receives ~$194 after fees.
- When enabled: The processing fee (2.9% + $0.30) is added to each payment. If a payer owes $200, they pay $206.29, and your team receives the full $200.
Example calculation:
A member owes $200.00 in dues.
- • Payer pays: $206.29
- • Stripe fee: $6.28 (2.9% + $0.30)
- • Team receives: $200.01
Important notes:
- The fee is calculated automatically and shown to payers before they submit payment
- This only applies to Stripe payments (card and ACH). Manual payments via Venmo, Zelle, or PayPal are not affected
- You can toggle this setting on or off anytime — it applies to all future payments
Custom terminology
GetDues lets you customize the labels used throughout the app to match your organization:
Member Labels
- • Player (default for sports)
- • Member (clubs, groups)
- • Athlete (competitive teams)
- • Student (academic programs)
- • Participant (camps, events)
Manager Labels
- • Parent (youth teams)
- • Guardian (schools)
- • Contact (adult leagues)
- • Family (family-based orgs)
These labels appear throughout GetDues and in reminders sent to your members, making the experience feel tailored to your organization.
Example:
A soccer team might use “Player” and “Parent,” while a debate club uses “Member” and “Family.”
Organization types
When creating a team, you can select an organization type to help GetDues set defaults:
- Sports team: Default labels: Player, Parent. Best for youth and adult sports.
- Club or group: Default labels: Member, Contact. Best for non-sports clubs.
- School or class: Default labels: Student, Guardian. Best for academic programs.
- Event or camp: Default labels: Participant, Contact. Best for one-time events.
You can always change terminology later in team settings — these are just helpful starting points.
